Description
David Heide Design Studio has a full-time position available for a versatile self-starter to join our highly collaborative, fast-paced studio. DHD Studio is an award-winning full-service architecture, interior design and historic restoration firm.
The preferred candidate will have excellent written and spoken communication skills, be fully proficient with common office computer skills, and have some experience in social media or website management. You must be organized, detail-oriented, and able to create/maintain a schedule and manage multiple deadlines. You will be a key player in keeping this very successful business running smoothly!
RANGE OF TASKS INCLUDES:
Perform all duties of office manager and receptionist. Perform general office duties in support of others within the office, including principal.
Represent the Studio professionally while directing phone calls and visitors.
Make updates to the office calendar and keep track of meetings and events.
Maintain database of contacts.
Perform basic office duties such as opening and distributing mail, mailing letters and packages, ordering office supplies as needed and arranging courier runs.
Assist in general office duties as needed for the firm’s architects, designers, and accountant, such as making copies and filing documents.
Coordinate with outside vendors as required.
Other tasks as necessary.
Serve as personal assistant to the principal.
Make phone calls on behalf of David.
Coordinate and administer David’s calendar. Schedule appointments, including business and personal. Set up client meetings and assist with correspondence.
Serve as Human Resources representative for the Studio.
Review materials from job/internship applicants, discuss with principal, follow up with applicant as appropriate.
Maintain personnel records for all employees.
Set up employee reviews.
Provide ongoing management for all aspects of marketing and advertising, new client communication, and business development. While these strategies and practices are already in place, they may need occasional adjustments over time. Among these duties are:
Administer the overall yearly marketing calendar for the Studio.
Manage and coordinate award submissions and promotional events such as home tours. Anticipate deadlines, assemble materials, arrange set up, and co-ordinate staffing. Participate in representing the Studio if required.
Implement advertising plans each year. Identify publications in which to advertise, based on geographic and demographic reach of publication. Manage the annual advertising budget and place approved print advertising with publications.
Maintain online presence of Studio via updates to existing website, e-newsletter, and social media accounts. Coordinate all aspects of website updates and maintenance.
Maintain digital asset files and publication records.
Keep printed promotional materials in stock.
Work with freelance designers and writers as needed.
Maintain relationships with media and professional associations, and attend association meetings and industry events as necessary.
SKILLS:
Microsoft Office (Word, Excel, Outlook, PowerPoint)
Familiar with social media (Houzz, Facebook, Pinterest, etc.)
Must be comfortable working on computer and using computer programs, and able to learn and adapt to new programs/technology quickly.
Facilitating the client experience with periodic telephone contact for scheduling and maintaining other studio relationships.
Experience with the following is preferred but not required:
Adobe Creative Suite (Photoshop, InDesign, Illustrator)
MailChimp or similar email service
WordPress or other website platform
Experience within the architecture/interior design industry, with knowledge of commonly-used concepts and procedures of a residential design studio.
Marketing experience is a big plus.
